Fall 2025 scheduling is now available in CourseLeaf CLSS.

Fall Semester 2025 is now open for scheduling in CLSS. Please be sure to double-check that you are in the correct term before making changes/additions/deletions to your scheduling unit’s schedule. You can confirm this by looking at the top left of the screen.
The Quick Tips sheet for Fall 2025, which lists the tentative dates for scheduling and what is going on during those times, is available here. These may be adjusted slightly. In particular, if OTR has completed processing during one of the “Locked” phases, we will reopen CLSS for you to continue scheduling.
CLSS is in Design Mode – Plan Phase for Fall 2025 for all scheduling units except for those in COLL and UNIV (see information below for COLL/UNIV).
Important Dates for Fall 2025 Scheduling
1/13/2025: CLSS opens for Fall 2025 Scheduling
2/16/2025: Initial draft of schedule due
3/23/2025: Final schedule due
3/28/2025: Course Schedule published, and ESTHER Course Registration Request process begins
Week of 4/14/2025: Registration begins
Scheduling Information for Design Mode – Plan Phase
You should begin planning for the Fall 2025 semester. We have copied Fall 2024 forward to Fall 2025 for you. Additionally, we have removed all inactive instructors.
The majority of your changes should come at this time while we are in Design Mode. Remember, with Design Mode, you will submit your entire schedule at once using the “Validate” button in the red toolbar in the top right. You can always click “Validate” to see how you are doing against the rules that have been set up (e.g., the 2/3 Rule), but do not click Submit to Workflow until you have completed your schedule.
If you have new courses that need to be created, once we receive and process the paperwork, those courses will be available in CLSS the following day.
If you are attempting to cross-list a course with UNIV or COLL, you will receive an error message because UNIV/COLL are in Refine Mode. For these situations, please place the cross-list information in the Comments.
There are 69 sections that cannot be edited in CLSS. We will be reaching out to those scheduling units regarding the scheduling for those sections.
We are planning to begin assigning rooms earlier. This means that waiting until we are in the “Rooms” phase to submit requests may actually be too late. We strongly encourage you to provide any specific requests no later than 2/16/2025.
Important room request information collection requirements for Fall 2025:
Any course section that was in a Department Controlled Room in Fall 2024, will show “Department Controlled Room” for the room request. Should you need an OTR Controlled Room, you must change that data element. Failure to request an OTR Controlled Room on time when it is needed has a substantial risk of not receiving an OTR Controlled Room for Fall 2025.
Any course section that was in an OTR Controlled Room in Fall 2024 will show “Select Room Need.” You will not be able to submit a section with “Select Room Need” as the request—you will be required to select the appropriate room type.
Any course section that does not have a meeting pattern will have a “No Room Needed” request listed.
Scheduling Information for UNIV/COLL Schedulers
You are in Refine Mode – Plan Phase.
If you are attempting to cross-list a course with a course other than one in UNIV/COLL, you will receive an error message because other scheduling units are in Design Mode. For these situations, please place the cross-list information in the Comments.
You should not use the validate button to submit your schedule. Individual sections are submitted to the schedule when they are saved.
Changes to sections are validated and sent through workflow when each section is saved. All changes will be reflected individually on the schedule after they work through any workflow processes. In other words, if your section triggers a workflow, it will be sent through that workflow when you save it, so be cognizant of this.
