Good afternoon,
Summer 2025 is open in CourseLeaf CLSS for scheduling.
Please find the Provost’s memo and financial model regarding Summer Session scheduling. The normal Quick Tips sheet is available here. Please read the memo prior to scheduling any courses in CLSS because there have been some changes since last summer.
This page will house Summer Sessions scheduling information, including sent emails, for later reference. Important dates for you for Summer 2025 are listed here.
Summer 2025 Scheduling – Unique Items
Some things are unique to Summer Session scheduling in CLSS:
- Since you are starting in Refine Mode, you are making changes to individual sections, not your scheduling unit’s entire schedule. This means that when you save the section and click “Start Workflow” it will begin the workflow process for that section. It also means that you do not need to press the “Validate” button at the top of the screen.
- We have copied the Summer 2024 Full Term (research) sections to Summer 2025. You will need to review these and adjust as necessary in CLSS. If you do not delete/change these, they will appear on the Summer 2025 schedule.
- Remember, you can use the Framer Tool to copy forward previous Summer Session courses. (For information on the Framer, please see the wiki.) This will save you time in entering much of the data.
- Part of Term. Only courses with the course type of RES (Research) may be in the Full Term. All other courses must be placed in one of the Summer Session Blocks. Exceptions to this include the Visiting Student Researcher, Internship, Rice in Country, and Energy Economics courses. If additional exceptions need to be considered, please email registrar@rice.edu with a curricular rationale by 11/15. No additional dates will be available after that time.
- All courses that do not have the course type of RES (Research) or INT (Internship) will be charged tuition, even if it is a graduate course or independent study. If Rice graduate students enrolled in the course are to be granted a tuition waiver, please indicate so in comments within CLSS and this information will be relayed to GPS. Otherwise, they will be charged tuition.
- Session dates:
- Session I: May 5 – August 15, 2025 (fifteen weeks)
- Full Session: May 5 – August 15, 2025 (fifteen weeks)
- Internship: May 5 – August 15, 2025 (fifteen weeks)
- Block A1: May 12 – May 30, 2025 (three weeks)
- Block B1: May 12 – June 27, 2025 (seven weeks)
- Block C1: May 19 – June 27, 2025 (six weeks)
- Block D1: June 2 – August 8, 2025 (ten weeks)
- Block E1: June 16 – August 1, 2025 (seven weeks)
- Block B2: June 30 – August 15, 2025 (seven weeks)
- Block C2: July 7 – August 15, 2025 (six weeks)
- Missing Instructors. You must provide an instructor for every section. You will not be able to leave this blank and come back to it later when scheduling for Summer.
- Standard Meeting Patterns. We have added standard meeting patterns for Summer. If you use these for a three-credit hour course, that will ensure the expected amount of contact hours. Times have also been suggested such that students will be able to take multiple courses in a given Summer Session. Some of the meeting patterns within a specific group may look a little different (i.e., the times are not uniform). This is to account for the university holidays. These suggested times are located here. Should you not want to use these meeting times, please see the Course Schedule FAQs.
- Workflows have been modified so that all undergraduate courses (except research) will be routed to the appropriate Dean’s Office for approval. Graduate sections will only be sent to the appropriate Dean’s Office if they trigger an additional rule. All online and/or international travel courses will be sent to the appropriate office for review via the workflow as well. A comprehensive list of rules that are in effect for workflows is available in the wiki. Some of these rules are different for summer.
- Except for Full Term, Internship, and Session 1, once a Summer Session has begun, you will not be able to edit course offerings in that session.
Visiting High School Students
In order for a visiting high school student to register for a Summer 2025 class:
- The student must be approved by OTR to take courses
- The course requested must be designated in CourseLeaf CLSS as eligible for high school students. (See below for processing information.)
How to Request a Course be Eligible for Visiting High School Students
First, you will need to poll your instructors to inquire if they will allow Visiting High School Students into the course. If you submit a request, we will assume that you have already done this and that they have agreed.
The rest of the process will be handled entirely within CLSS.
Open (or create) a section that you would like to allow Visiting High School Students to be able to take
- Click the pencil icon next to Section Attributes
- Click the green plus symbol
- Using the dropdown, select “High School VS Eligible”
- Click “Accept”
- Place any pre-requisites a high school student may need to successfully complete the course in the Comments section
- Submit the section through workflow as you normally would
- The course will be routed through all necessary workflow approvals
IMPORTANT: Once a course is approved to be eligible for Visiting High School Students, it cannot be removed from the approval list.
Incoming Fall 2025 Matriculants
Details regarding this are still being worked out, and additional information will be disseminated once it is available.
