Dear Rice Faculty and Staff,
The Office of the Registrar has launched a new automated Course Registration Override process to replace the current paper-based special registration process.
This new interface allows students to request course registration overrides directly within ESTHER, enabling the instructor to review and approve or deny these requests electronically rather than via a Special Registration Form. Instructors also retain the ability to submit an override on a student's behalf.
How to use the new process to review and approve/deny student course registration override requests:
- Once a student submits an electronic Course Registration Override request in ESTHER, the instructor will receive an email with an approval link.
- The email comes from registrar@rice.edu and includes the following in the subject line: Course Registration Override – Student Name – (Student ID) – Course Subject/Number (CRN) – COURSE TITLE.
- The email includes a link to review and approve/deny the request.
- Click on the link to review the Course Registration Override Request Details
- After reviewing, please mark your Decision as Approved or Denied.
- If you are denying the request, a denial comment will be required.
- Click Complete to submit the review.
- If a request is approved, the appropriate course registration override will be automatically updated in Banner, and the student will be notified via email that they can now register for the course.
- If a request is denied, the student will be notified via email, and any denial comments will be shared with them at that time.
How to use the new interface to submit overrides on behalf of a student:
-
In ESTHER, select the Faculty tab.
-
Click on the Assign Course Registration Overrides tile.
-
Use the Search options to find your student.
-
Select the term, course, and the course registration override being requested.
-
Click on the Assign Course Registration Override(s) button to submit your course registration overrides.
Please note: For courses with multiple instructors, all course instructors are authorized to assign course registration overrides.
The student will automatically receive an email notification that the course registration override has been assigned and that they can register in ESTHER.
If students come to you directly requesting course registration overrides via a Special Registration Form, please direct them to submit their requests through ESTHER.
Instructions for this new, electronic process can be found here.
If you have any questions, please reach out to us at registrar@rice.edu.
Thank you,
Office of the Registrar
